This Privacy Policy explains how PoolCodex(“we,” “us”) collects, uses, and shares information when you use our website and the PoolCodexservice (the “Service”).
1. Information we collect
- Account information — name, email, company, and credentials you provide when you sign up.
- Workspace content — the customer records, estimates, proposals, projects, and documents you and your team enter, including information about your own customers.
- Billing information — handled by our payment processor; we receive limited details such as the last four digits of a card and subscription status, not full card numbers.
- Usage & device data — log data such as IP address, browser type, and pages viewed, used to operate and secure the Service.
2. How we use information
We use information to provide, maintain, secure, and improve the Service; to process payments; to send transactional messages (such as sign-up verification, signing notifications, and billing notices); to provide support; and to comply with legal obligations.
3. Roles: controller and processor
For your account information and how we run the Service, we act as a data controller. For the customer data you place in your workspace, you are the controller and we act as a processor that handles it on your behalf and under your instructions.
4. How we share information
We share information with service providers who help us operate the Service (for example, cloud hosting, payment processing, and email delivery), each bound to protect it; when required by law; and in connection with a business transfer. We do not sell your personal information.
5. Data retention
We retain information for as long as your account is active and as needed to provide the Service, then delete or anonymize it within a reasonable period, subject to legal retention requirements.
6. Security
We use technical and organizational measures designed to protect information, including encryption in transit and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7. Your rights
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to certain processing. To exercise a right, contact us; if your request concerns data in a workspace controlled by one of our customers, we may refer you to that customer.
8. Children
The Service is not directed to children and is intended for business use by adults.

We may update this policy from time to time and will post the updated version here with a new “last updated” date.
